This position contributes to our mission of providing home support services to seniors and people with special needs by offering a home delivery service of hot, cold and frozen meals at reasonable prices. The incumbent coordinates the purchase of meals from external suppliers, ensuring that they are nutritious and respect various dietary constraints. The Meals-on-Wheels Coordinator responds to client requests and ensures that volunteer deliveries run smoothly. In addition, the Coordinator maintains positive relationships with other team members, clients and their families, volunteers, local committees, regional committees, suppliers and community partners.

Education Requirements

Post-secondary degree in social work, gerontology or other relevant field

Desired Experience

- At least two years' experience working with seniors
- Experience in community development
- Experience working with volunteers


- Verification of level 3 police records showing no criminal record
vulnerable sector less than six months old
- Valid driver's license and access to an insured vehicle


Program Administration
- Coordinate the Meals-on-Wheels program for the entire Prescott-Russell region.
- Collaborate and sit on local and regional committees.
- Negotiate prices and menu selections with suppliers.
- Place orders with suppliers, verify the accuracy of invoices and forward them to Finance for payment.
- Establish a mechanism to monitor meal quality control and maintain proper temperatures during deliveries.
- Ensure efficient delivery routes and resolve any delivery problems promptly.
- Keep customer records up to date.
- Respect the privacy and confidentiality of customers' personal and health information.
- Keep customer delivery and status verification protocol up to date and in line with current best practices.
- Invoice customers for purchases and resolve any billing issues promptly.
- Enter program data and statistics into the computer system.
- Participate in the development or updating of customer satisfaction evaluation tools.
- Verify volunteer mileage claims and forward to Finance for payment.
- Compile data and performance indicators required for grant reporting, where applicable.
- Compile data needed to analyze trends and discern emerging needs in the Prescott-Russell region.
- Make recommendations to improve Meals on Wheels service.
- Report any operational problems to the General Manager.
- Perform any other related tasks delegated by the General Manager.

Customer and Family Relations
- Open new client files.
- Assess client needs and explain food service options available through PRCS.
- Refer clients to other PRCS departments or other local or regional resources as needed.
- Evaluate customer satisfaction on a regular basis.

Volunteer relations
- Train and evaluate volunteers.
- Give clear and precise instructions on deliveries to be made and the need to check on customers.
- Collaborate on volunteer recognition initiatives.
- Ensure that volunteers correctly complete and submit their claims in a timely manner.

Public Relations
- Occasionally promote or make presentations about Meals on Wheels at public meetings or events where current or potential customers, funders or partners are present.


- Bilingual - good command of French and English, spoken and written
- Excellent organizational and time management skills
- Good knowledge of the Prescott-Russell territory and its rural roads
- Good knowledge of Office applications (Word, Excel, Powerpoint)
Teams environment and database operation
- Excellent interpersonal skills and ability to maintain respectful and positive
with all stakeholders: employees, volunteers, customers, suppliers, partners, etc,

- Good knowledge of the Personal Health Information Protection Act (PHIPA) and
(PHIPA) and the Freedom of Information and Protection of Privacy Act (FIPPA).
Privacy Act (LAIPVP)

Work Hours

- Permanent, unionized, part-time position (28 hours per week)
- Regular working hours are Monday to Friday, 8 a.m. to 4 p.m. Occasional evening or weekend meetings or events.
